ClassEcho Inc. ("ClassEcho", "we", "us", or "our") respects your privacy and is committed to protecting the personal information of our users. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use the ClassEcho platform, website, applications, and related services (collectively, the "Platform"). ClassEcho provides software tools that help fitness, wellness, and service-based businesses manage bookings, scheduling, memberships, customer relationships, payments, and communications. ClassEcho operates in accordance with applicable privacy laws, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Act respecting the protection of personal information in the private sector (Law 25), where applicable.

1. Who this Privacy Policy applies to

This Privacy Policy applies to two main groups of users.

Studio owners and staff: businesses, administrators, employees, and staff members who use ClassEcho to manage their operations, including class schedules, appointments, memberships, customer information, payments, communications, and staff management.

Studio members and customers: individuals who book classes, appointments, memberships, or services through a business using ClassEcho.

Where this Privacy Policy applies differently to studio operators and studio members, we clearly identify the difference.

2. Information we collect

We collect information necessary to provide, maintain, and improve the Platform.

Account information: when someone creates a ClassEcho account, we may collect their full name, email address, password credentials, account role and permissions, and login and account activity information. Passwords are securely hashed and are never stored in plain text.

Studio information: when a business creates a ClassEcho account, we may collect its business name, business contact information, logo and branding assets, booking page information, business settings, timezone, services and class information, scheduling availability, and staff profiles and permissions.

Member information: studios using ClassEcho may collect and manage information about their members and customers, including name, email address, phone number, membership details, booking history, attendance records, appointment history, notes added by the studio, and communication preferences. Member information may be provided directly by the member, entered by the studio, or imported by the studio from another platform, including through CSV uploads. Studios are responsible for ensuring they have the appropriate rights, permissions, and legal basis to collect and manage their members' information.

Payment information: ClassEcho does not store complete credit card numbers, banking information, or payment card details. Payments made by studio members are processed through third-party payment providers, such as Stripe, using the studio's connected payment account. ClassEcho may store limited transaction information, including transaction amount, payment status, transaction date, refund information, and payment references. Credit card information is handled directly by the payment processor and is subject to that provider's privacy and security practices.

3. How we use information

ClassEcho uses personal information to:

  • Provide and operate the Platform
  • Manage bookings, schedules, memberships, and appointments
  • Process payments
  • Send transactional communications, including booking confirmations, appointment reminders, cancellation notifications, and account invitations
  • Allow studios to communicate with their own members
  • Provide customer support
  • Maintain platform security
  • Prevent fraud, abuse, and unauthorized access
  • Monitor system reliability and performance
  • Improve the functionality and user experience of the Platform

ClassEcho does not use studio member information to create marketing lists, advertise competing services, or sell customer data.

4. Studio data ownership and responsibility

Studios using ClassEcho remain responsible for the personal information they collect and manage through the Platform. ClassEcho acts as a technology provider that allows studios to manage their business operations.

Studios are responsible for:

  • Providing appropriate privacy notices to their members
  • Obtaining required consent where applicable
  • Ensuring imported customer information was collected legally
  • Responding to member privacy requests related to information controlled by the studio

ClassEcho does not determine why a studio collects member information or how the studio uses that information.

5. Data isolation between studios

Each studio using ClassEcho has its own separate account environment. Studio data, including members, bookings, payments, schedules, staff information, and business settings, is isolated and is not accessible by other studios.

ClassEcho does not operate a public marketplace or directory where studios can discover or access another studio's customers. A studio's information is only publicly available when the studio chooses to publish customer-facing information, such as a public booking page.

6. Information sharing

ClassEcho does not sell, rent, or trade personal information. We only share information with trusted service providers when necessary to operate the Platform. These providers may include:

  • Payment processing: Stripe, which processes payments securely on behalf of studios
  • Database and infrastructure providers: providers that support hosting, databases, authentication, and platform infrastructure
  • Email and communication providers: providers used to deliver transactional emails and communications requested by studios

These service providers are authorized to process information only as necessary to provide their services. Some service providers may process information outside Canada. When this occurs, ClassEcho takes reasonable measures to ensure appropriate privacy protections are maintained.

7. Security of personal information

ClassEcho uses reasonable technical and organizational safeguards designed to protect personal information, including:

  • Secure authentication systems
  • Password hashing
  • Encryption during data transmission
  • Access controls
  • Database-level separation between studios
  • Security monitoring and logging

While we take reasonable precautions to protect information, no internet-based service can guarantee complete security.

8. Data retention and deletion

ClassEcho retains personal information only for as long as necessary to provide the Platform, maintain business records, resolve disputes, and comply with legal obligations. Studio owners may request access to or export their business data.

When a studio account is closed, ClassEcho may retain certain information for a reasonable period for legal, accounting, security, or dispute-resolution purposes. After this period, information will be deleted or anonymized.

9. Privacy rights

Depending on applicable laws, individuals may have rights to access their personal information, request corrections, request deletion, request a copy of their information, and withdraw consent where applicable.

Studio members: if you are a member of a studio using ClassEcho, requests regarding your personal information should generally be directed to the studio you have a relationship with, since that studio controls your information.

Studio owners and staff: studio owners and staff may contact ClassEcho directly regarding their account information. Requests can be sent to support@classecho.co.

10. Cookies and tracking technologies

ClassEcho uses cookies and similar technologies necessary for user authentication, maintaining login sessions, platform functionality, and security purposes. ClassEcho does not use third-party advertising cookies and does not sell browsing information to advertisers.

11. Marketing communications

ClassEcho may send important service-related communications necessary for operating your account. Where permitted by law, ClassEcho may send promotional communications about our services. You may unsubscribe from marketing communications at any time by using the unsubscribe option included in emails or contacting us directly.

12. Children's privacy

ClassEcho is designed for businesses and adult users. ClassEcho does not knowingly collect personal information directly from children under the age of 13. Studios may create bookings or manage memberships for minors where authorized by a parent or legal guardian.

13. Third-party services

ClassEcho integrates with third-party services that have their own privacy policies and security practices. These services may include payment processors, hosting providers, email delivery providers, and authentication providers.

ClassEcho is not responsible for the privacy practices of third-party services.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, privacy practices, or legal requirements. If we make significant changes, we will notify account owners through email or another appropriate method.
